About PDF QR Codes

A PDF QR is a URL QR pointing at a hosted PDF file. The scanner's phone fetches the URL, sees a PDF content-type, and opens the document in the native viewer — Safari + Apple Books on iPhone, Chrome + the system PDF viewer on Android. Every modern phone handles PDFs natively without an extra app.

The reason this gets its own QR type isn't the technology — it's the deployment pattern. PDFs need hosting, they need to render readably on a 6-inch screen, they need to load in under 3 seconds on a tower-edge LTE connection. Get those right and the PDF QR turns a printed asset (table tent, packaging, real-estate sign) into the gateway for a full multi-page document — way more content than fits on the print substrate, fully updateable at the source.

For PDFs that change — restaurant menus that rotate seasonally, product manuals that ship revisions, real-estate brochures for listings that update weekly — use a dynamic QR ($5/mo Lite plan). The printed code stays; you swap the PDF from the dashboard. This is the single biggest reason teams upgrade off the free plan for PDF QRs.

Walkthrough

How to Create a PDF QR Code

  1. Host the PDF on a public URL first

EZQR generates the QR; you host the PDF. Use your own website (yoursite.com/menu.pdf), Google Drive (share-anyone link), Dropbox (direct-download URL), or a CDN. The URL must be publicly accessible — no password, no login wall.

  2. Optimize the PDF for mobile screens

Phone-friendly PDFs use large fonts (14pt+), vertical orientation, single-column layouts, and total file size under 2-3 MB. A 12 MB desktop-formatted PDF on a tower-edge LTE connection takes 8+ seconds to open, and most scanners bail.

  3. Paste the PDF URL into the generator

Copy the public PDF URL into the field above. The code updates in real time. For Google Drive, use the direct-view URL not the share-page URL — share pages add a Google interstitial that the phone has to load before showing the PDF.

  4. Customize the design and download

Brand colors, logo in the center under 20% area, high contrast. PNG for digital, SVG for print at scale (table tents, packaging, signage), PDF for the print shop. Minimum 2.5 cm on business cards, 4 cm on table tents, 8 cm on storefront windows.

  5. Test the load time on cellular

Don't test on office WiFi — test on the cellular connection your scanners will actually use. Walk outside the building, scan the QR, and time the PDF load. Anything over 4 seconds will hurt conversion. Compress the PDF further or move it to a faster CDN if needed.

Where it works

PDF QR Code Use Cases

Restaurant menus on table tents and window decals — diners scan, the menu opens, and the chef can rotate the wine list seasonally by swapping the dynamic PDF from the dashboard without reprinting tents.

Product manuals and assembly instructions on packaging — the QR lives on the box; the manual updates as revisions ship without recall.

Real estate yard signs and open-house flyers linking to property brochures with photos, floor plans, school ratings, and offer instructions — replaces the empty-flyer-box pattern.

Conference programs, speaker bios, venue maps, and CME accreditation forms accessible from one QR on the badge or lanyard.

Wine and spirits packaging with the QR linking to the technical sheet — vintage notes, tasting profile, food pairings, awards — that sommeliers and stockists actually read.

Educational handouts and lab kits linking to answer keys, supplementary readings, and video demonstrations gated by a QR the teacher hands out post-class.

Real estate agent listing presentations where the QR on the back of the card opens a portfolio PDF with past closings, testimonials, and the buyer's guide.

Trade show booth handouts linking to product specs, pricing sheets, white papers, and case studies — saves the booth-staff backpack from carrying 200 printed copies.

Healthcare clinic intake — patients scan the lobby QR to fill out the intake PDF on their phone before being seen, instead of clipboard handoffs and double data entry.

Gym membership packets linking to the rules-and-regulations PDF, class schedule, and trainer bios — members scan once on signup and have the docs in their downloads folder forever.

What works in practice

PDF QR Code Best Practices

Compress the PDF to under 2-3 MB. Mobile scanners on cellular abandon loads that take over 4 seconds; a 12 MB design-shop PDF is the most common cause of failed PDF QR campaigns.

Design for the phone screen, not the laptop. Large fonts (14pt+), vertical layout, single column, max 6 pages for menus and brochures. Pinch-zooming PDFs are an immediate bounce signal.

Make sure the PDF URL is publicly accessible — no login, no password, no expiring share link. Test the URL in an incognito browser before printing 5,000 table tents.

Use a dynamic QR on the Lite plan ($5/mo) whenever the PDF will change — restaurant menus, real-estate listings, product manuals with revisions. One avoided reprint pays for the year.

Add a CTA: "Scan for menu", "Scan for product specs", "Scan for the brochure". Naked QRs convert at half the rate of QRs with adjacent prompt copy that pre-frames the destination.

Host the PDF on your own domain when possible — yoursite.com/menu.pdf reads as legitimate and survives third-party platform changes. Google Drive and Dropbox URLs occasionally rotate access controls and break QR campaigns silently.

Test load time on cellular before scale-printing. Office WiFi makes everything fast; the LTE connection your actual scanners use is 5-10× slower in real-world conditions.

For multi-page PDFs (manuals, programs), include bookmarks/outline in the PDF so iOS Safari and Android viewers show the navigation panel — scanners jump straight to what they need without scrolling 12 pages.

For seasonal or campaign PDFs, archive the old version to a /menu-archive/ URL before swapping the dynamic QR destination. Health inspectors and procurement audits will ask for past menus and offer letters.
